Managing a collection often takes a village, from gallery directors and registrars to guest curators and family office advisors. Sesame makes it easy to invite colleagues into your account while maintaining complete control over sensitive financial data and editing rights.
Understanding Sesame user roles
Sesame features five access tiers to fit your team's workflow while protecting sensitive financial and collection data.

Detailed role breakdown
Owner
Full control over the organisation. Owners can view, edit, and manage all collection data, invite or remove team members, access sensitive financial records (such as artwork values, invoices, and storage agreements), and deactivate the account.
Tip: You can assign multiple Owners, but we recommend keeping this group small.
Admin
Identical permissions to the Owner, with one safety boundary: Admins cannot deactivate the account.
Manager
Ideal for operational leads. Managers can add, edit, and organize all collection data and Selections, but cannot view financial data or manage team member seats.
Editor
Designed for day-to-day collection updates. Editors can add and edit artworks and build Selections, but have no access to financial documents or team settings.
Viewer
Read-only access across your primary collection and internal Selections. Viewers can browse and search, but cannot edit details, view financial records, or modify Selections.
External collaboration & guest access
Note on Team Scope: Inviting a team member gives them visibility into your entire primary Collection. If you only want to share a specific group of artworks, use Selections instead.
Collaborating without adding seats
You don't need to add external collaborators, like guest curators, advisors, or gallery partners as full team members:
Shareable Selections: Send curated view-only links to external partners. Recipients do not need a Sesame account to view them.
Co-Curation: Create Collaborative Selections to invite external collaborators to contribute works directly to a specific project or group show. Guests added to a collaborative Selection do not count toward your paid team seats.
