Condition reports

Maintaining clear condition records is essential for preserving artwork value, preparing items for transport, and managing insurance claims. Sesame allows you to upload existing condition documentation or generate a new digital condition report directly within the app.
Option 1: Uploading a pre-generated condition document
If you already have a PDF or external condition report from a restorer, gallery, or art handler, you can upload it directly to the asset's records:
Open the asset page and scroll to the Documents section.
Upload your file (such as a PDF or image document).
Rename, group or add tags if needed
Save the asset record to keep the external report securely stored alongside your artwork metadata.
Option 2: Creating a condition report in Sesame
To log a structured condition assessment directly within Sesame:
Navigate to the asset page and scroll down to the Condition report section.
Tap Add report to open the creation modal.
Complete the assessment fields:
Report date: Select or confirm the date of the assessment.
Overall rating: Choose a rating that reflects the current state of the piece (Not rated, Excellent, Very good, Good, Fair, or Poor).
Grading certificate (optional): For collectibles or graded works, specify the Grader (e.g., PSA, BGS), Cert number, and Grade as stated (e.g., PSA 9).
Narrative: Provide detailed observations describing the physical state of the work, noting any frame wear, surface marks, or structural notes.
Photos: Tap Add photos to attach supporting close-ups, inspection photographs, or annotations directly to this report.
Save the report to log it to the asset's timeline.
Automated warehouse condition check photos for Eythos clients
If you store your artworks with Eythos, our facility team conducts a visual condition check whenever an asset enters our warehouses.
As part of this intake process, condition photographs of your artwork and its packaging are automatically synced to your Sesame account. These visual records are viewable at any time in the Condition Photos section at the bottom of the asset page, giving you full operational visibility without requiring manual uploads.
