Keeping paper trails, invoices, certificates of authenticity, and condition records attached directly to an asset ensures your collection metadata remains comprehensive and audit-ready. You can manage all associated files in the Documents section of any asset page.
Uploading files
Open the asset page and scroll down to the Documents section.
Add files to your asset using either method:
Drag and drop: Drag files directly into the dashed upload area.
Upload button: Tap the Upload button in the top-right corner to select files from your computer or device.
Supported files can be uploaded up to a maximum size of 100 MB per file.
Common documents to attach include certificates of authenticity, gallery invoices, purchase agreements, framing receipts, appraisal certificates, and external condition reports.
Organising and managing your documents
Once uploaded, you can organise and customise your files using the action menu (three dots icon) next to any listed document:
Rename / edit description: Update the file name or add a descriptive summary so team members know what the document contains without opening it.
Manage tags: Apply custom tags to classify document types (such as Invoice, Certificate, or Condition Report) for quick visual identification.
Move to group: Group related documents together into custom folders or categories to keep long document lists structured.
Download: Save a local copy of the file directly to your device.
Delete: Remove outdated or duplicate files from the asset record.
Searching and filtering documents
When an asset contains multiple files or exports, use the controls at the top of the Documents section to locate specific records:
Search documents: Type keywords into the search bar to filter by document name or description.
All tags dropdown: Filter the document list by specific tags.
All groups dropdown: Isolate files belonging to a specific custom group.
