Merge artworks

Duplicate records can occasionally occur in your collection workspace, such as when multiple team members catalogue the same piece, or when an Eythos warehouse entry created from a packing list overlaps with a record you added manually.
Sesame allows you to fold two separate artwork entries into a single, unified record, giving you granular control over which data fields to preserve.
When to merge artwork assets
Merging assets is useful when:
Multiple team members have created separate entries for the same artwork.
Eythos intake records synced from warehouse packing lists duplicate an existing self-managed artwork in your workspace.
Consolidating metadata from an incomplete record with a more detailed asset profile.
How to merge two artwork entries
To combine two duplicate artwork entries:
Open the artwork record you wish to keep or update, then tap or click the pencil icon below the image to edit the artwork.
Scroll to the bottom of the edit modal to locate the Merge with another asset section.
Under The other asset, search for and select the duplicate artwork record you want to merge.
Click Preview merge to launch the side-by-side reconciliation screen.
Reviewing and reconciling data in the merge preview
The Preview merge screen lets you review conflicting fields and decide exactly how the final merged record will look:
Select which record survives: Choose which underlying artwork record remains primary. The surviving record retains its unique asset ID, ensuring that existing Selections and active share links containing this artwork continue to work without breaking.
Select field values: For each metadata field (such as Name, Length, Height, Medium, or Valuation), select whether to keep the value from the primary record, the duplicate record, or type a completely new custom value directly.
Finalise the merge: Review your selections and click Merge.
Once confirmed, the duplicate record is folded into the surviving artwork asset, consolidating your images, documentation, and metadata into one clean record.
