In the world of fine art, an art piece’s condition is as vital as its provenance. For collectors, galleries, and institutions, maintaining a clear, chronological record of an artwork's physical state is the best way to ensure its long-term value and structural integrity. The protocol of custody

In logistics, we talk about 'Chain of Custody.' Every time an artwork changes hands, a CR must be updated or created. This is the handshake.

  1. Leaving the Studio: Establishes the baseline condition.

  2. Arriving at the Warehouse: Verifies the artwork’s state after local transit.

  3. Before Packing: Confirms the piece is in optimal condition before the crate is sealed.

  4. Upon Arrival: Provides definitive proof of the condition at the final destination.

The Golden Rule: If you sign for a shipment without a condition check, you accept it "as is." Should you discover a tear two weeks later, insurance providers will likely deny the claim, arguing the damage could have occurred while in your possession.

Precision capture in a controlled environment

Traceability begins with visual evidence. To ensure total accuracy, inspections are done in Eythos' viewing rooms equipped with high Color Rendering Index (CRI) ceiling backlit panels and ERCO lighting fixtures. This setup creates a bright environment, allowing our team to capture standardized, high-quality images that eliminate color shifting and preserve fine details of the artwork's texture.

Furthermore, we integrate Ultraviolet (UV) light diagnostics into all inspections. This technique is essential for uncovering potential hidden history. It reveals previous restorations, over-painting, and adhesive residues that are invisible to the naked eye. By utilizing UV light at the very first stage of checking, we provide a deep-layer health check, ensuring that any structural vulnerabilities are identified and documented with museum-grade clarity.

To protect the integrity of the works, art handlers are required to wear white cotton or nitrile gloves at all times. Natural oils from the skin can cause permanent damage to pristine surfaces and sensitive metallic photographic papers.

Recognizing that it is not always feasible to relocate artwork to our facilities, Eythos’ experts are available to travel to any location, such as a gallery, auction house, or private residence. We perform on-site condition checks to ensure vital transparency and peace of mind prior to a purchase.

Digital intelligence with Articheck

To provide our clients with the most professional and industry-recognised documentation, Eythos utilises Articheck, the leading digital platform for condition reporting. By integrating this technology, we eliminate administrative delays and ensure surgical precision. In our reports, 'Damaged' is never an acceptable description. Instead, we provide detail: '3cm scratch to the lower left quadrant, penetrating the varnish but not the canvas'.

Our experienced registrars and art handlers utilise the platform to generate detailed and tailored reports across all mediums, from paintings to outdoor sculptures and archived paper documents. This process facilitates a rigorous analysis of specific vulnerabilities and defects unique to each asset:

  • Paintings: Identifying surface layer issues such as flaking, cracking, or pigment loss, and detecting previous restoration work through UV fluorescence.

  • Paper works: Detecting foxing, discolouration, acidity, or environmental warping in archived documents and works on paper.

  • Structural Integrity: Assessing sculptures for oxidation, dents, joint instability, or surface abrasions.
