Role Summary
The Registrar Assistant supports the registrar team with artwork documentation, data entry, inventory updates, filing, and record organisation.
This is a detail-focused support role for someone who wants to learn the fundamentals of artwork documentation, inventory control, and high-value asset tracking. The role operates under supervision and requires accuracy, discipline, care, and a willingness to learn structured processes.
Key Responsibilities
Documentation & Administration Support
Assist in preparing, organising, and filing artwork documentation.
Support data entry for inventory records, movement tracking, condition notes, and project files.
Ensure documents are stored clearly, consistently, and in the correct location.
Help maintain organised records across digital and physical filing systems.
Support the registrar team with day-to-day administrative tasks.
Inventory & Record Support
Assist in updating artwork locations, status, and movement information in the system.
Support movement tracking under supervision.
Help maintain alignment between physical artworks, storage locations, and system records.
Check information carefully and report missing details, inconsistencies, or uncertainties.
Follow instructions closely during inventory and documentation tasks.
Operational Support
Assist the registrar team during intake, release, storage, movement, and documentation processes.
Prepare materials, forms, labels, and documentation needed for operations.
Support smooth workflow between Registrar, Operations, Logistics, Storage, and Art Handling teams.
Help ensure basic documentation tasks are completed accurately and on time.
Maintain care and discretion when handling client and artwork information.
Learning & Standards
Learn Eythos’ registrar processes, documentation standards, inventory workflows, and system use.
Follow procedures and instructions carefully.
Maintain strong attention to detail and organisational discipline.
Ask questions when information is unclear rather than guessing.
Build practical knowledge of art logistics, documentation, and asset tracking.
Ideal Candidate
Some experience in administration, data entry, filing, gallery support, museum support, logistics administration, archive support, or operations support is preferred.
Diploma or degree in art, art history, museum studies, archives, logistics, administration, or a related field preferred.
Highly organised and detail-oriented.
Careful, reliable, and able to follow instructions accurately.
Comfortable working with documents, records, spreadsheets, shared folders, and digital systems.
Calm and professional when handling sensitive information and high-value objects.
Willing to learn structured processes and specialist documentation standards.
Able to communicate clearly with supervisors and team members.
Fluent in English and Cantonese or Korean, depending on location. Mandarin is an advantage.
Interest in art, collections, museums, logistics, or high-value asset protection is preferred.
