Role Summary

The Registrar is responsible for artwork documentation, inventory updates, movement tracking, and accurate system records.

This role sits at the core of Eythos’ information control process, ensuring artworks and high-value objects are properly recorded, traceable, and aligned with real operational activity. It is suited to someone highly organised, detail-focused, disciplined, and comfortable working with documentation, data, systems, and operational teams.

Key Responsibilities

Documentation & Data Entry

  • Prepare and update artwork records, inventory data, and movement information.

  • Complete condition reports, packing lists, release records, and other registrar documentation.

  • Ensure all data is accurate, complete, consistent, and entered on time.

  • Maintain clear documentation standards across records, forms, and internal systems.

  • Handle sensitive client and artwork information with care and discretion.

Inventory & Movement Tracking

  • Track artwork location, status, condition, and movement history across storage, transport, handling, and projects.

  • Ensure system records match physical movements and operational activity.

  • Update records promptly after any movement, status change, intake, release, or delivery.

  • Maintain traceability across artworks, crates, packaging, storage areas, and client accounts.

  • Identify discrepancies, missing information, or record gaps and report them clearly.

Operational Support

  • Provide accurate documentation and information to support Art Handling, Logistics, Storage, and Client Relationship teams.

  • Ensure required information is available before execution begins.

  • Support intake, release, storage, movement, and project processes with correct records and documentation.

  • Help maintain alignment between system information and physical operations.

  • Communicate clearly with teams when details need to be checked, corrected, or updated.

Standards & Accuracy

  • Follow registrar procedures, documentation guidelines, and internal standards.

  • Maintain strong attention to detail across all records and tasks.

  • Work carefully under time pressure without compromising accuracy.

  • Support data integrity, process discipline, and reliable operational execution.

  • Maintain professional conduct and confidentiality at all times.

Ideal Candidate

  • 2-4 years experience in registrar work, collections management, gallery or museum administration, inventory control, logistics documentation, archive management, or operations administration is preferred.

  • Degree or diploma in art history, museum studies, collections management, archives, logistics, operations, business administration, or a related field preferred.

  • Highly organised and detail-oriented.

  • Comfortable working with data, records, documentation, systems, and structured processes.

  • Strong written communication and documentation skills.

  • Careful, reliable, and disciplined in following procedures.

  • Able to work with operational teams in a fast-moving environment.

  • Calm and professional when handling high-value objects, sensitive information, and deadlines.

  • Comfortable using inventory systems, spreadsheets, shared folders, and digital workflows.

  • Fluent in English and Cantonese or Korean, depending on location. Mandarin is an advantage.

  • Interest in art, collections, museums, logistics, or high-value asset protection is preferred.
