Role Summary
The Logistics Coordinator manages the daily logistics schedule and coordinates transport activity across client requirements, operational capacity, timing, routing, and team availability.
This role acts as the coordination point between Client Relationship, Operations, Art Handling, Registrar, drivers, and external parties where required. It is suited to someone highly organised, calm under pressure, practical, and able to keep moving parts aligned in a fast-paced operational environment.
Key Responsibilities
Scheduling & Planning
Manage the daily and forward logistics schedule.
Schedule jobs based on timing, priority, location, scope, and operational capacity.
Coordinate vehicle, driver, handler, and resource allocation.
Maintain clear visibility over confirmed, pending, and upcoming jobs.
Help ensure logistics plans are realistic, efficient, and properly sequenced.
Client Requirement Coordination
Receive confirmed job details from the Client Relationship team.
Check that timing, scope, access details, contact information, and special requirements are clear before scheduling.
Highlight missing information, conflicts, or constraints before execution.
Ensure client commitments are aligned with operational capacity.
Act as the coordination bridge between client-facing teams and operations.
Operational Coordination
Communicate schedules clearly to drivers, art handlers, operations teams, and relevant internal teams.
Coordinate with Art Handling and Registrar to ensure works, documentation, packing, and access details are ready before movement.
Support correct sequencing between packing, storage release, transport, delivery, installation, and return.
Adjust schedules where needed due to traffic, access issues, delays, urgent requests, or operational changes.
Keep teams informed of changes in real time.
Documentation & Tracking
Maintain accurate logistics information across schedules, job records, movement notes, and internal systems.
Track job progress and update status during execution.
Support preparation and alignment of logistics-related documentation.
Ensure key details are recorded clearly for handover, billing, reporting, and follow-up.
Maintain discipline around job information and communication records.
Issue Resolution & Adaptability
Identify scheduling conflicts, operational delays, access issues, or resourcing gaps.
Adjust plans quickly to maintain operational flow.
Escalate issues to the Logistics Manager where needed.
Support continuity and reliability when plans change.
Help reduce avoidable delays, confusion, and miscommunication.
Ideal Candidate
3-5 years experience in logistics coordination, transport scheduling, operations coordination, project support, art logistics, events, warehousing, or a related field.
Diploma or degree in logistics, supply chain, operations, business administration, transport management, or a related field preferred.
Highly organised and comfortable managing multiple jobs, timings, and team requirements at once.
Calm under pressure and able to adapt quickly when plans change.
Strong attention to detail around schedules, addresses, access details, documentation, and job notes.
Clear communicator who can coordinate across client-facing and operational teams.
Practical, responsive, and able to think ahead.
Comfortable using calendars, scheduling tools, spreadsheets, shared folders, and operational systems.
Fluent in Cantonese and English for Hong Kong roles, or Korean and English for South Korea roles. Mandarin is an advantage.
Interest in logistics, operations, art handling, transport, or high-value asset protection is preferred.
