Role Summary
The Client Relationship Executive manages client requests, prepares quotations, and coordinates projects under the guidance of the Client Relationship Lead.
This role supports client accounts from enquiry through to execution, ensuring requirements are clearly understood, accurately scoped, commercially aligned, and properly communicated to internal teams. It is suited to someone organised, responsive, detail-focused, and confident managing client communication in a specialist, high-trust environment.
Key Responsibilities
Client Communication & Request Management
Manage client enquiries and requests in a timely, structured, and professional manner.
Maintain clear communication with clients throughout the project lifecycle.
Understand and document client requirements, preferences, timelines, and special instructions.
Support the Client Relationship Lead in managing ongoing client relationships.
Ensure client communication is accurate, responsive, discreet, and aligned with Eythos standards.
Quotation & Scope Definition
Prepare quotations based on defined scope, pricing structure, and internal guidelines.
Ensure scope, timing, access details, documentation needs, and service requirements are clearly captured.
Check operational feasibility before quotations or proposals are submitted.
Follow up on quotations and maintain visibility over active opportunities.
Help ensure what is quoted can be delivered properly by the wider team.
Project Coordination & Internal Alignment
Translate client requirements into clear instructions for Operations, Logistics, Registrar, Storage, Fabrication, and other relevant teams.
Coordinate project preparation to ensure all job details are confirmed before execution.
Maintain alignment between client expectations, commercial scope, and operational reality.
Track key project details, changes, risks, and follow-up actions.
Support smooth information flow across client-facing and operational teams.
Execution Follow-Up & Issue Resolution
Track project progress and help ensure timelines are respected.
Provide updates to clients and internal teams where required.
Identify potential issues, missing information, or changes in scope.
Escalate risks or service issues to the Client Relationship Lead when needed.
Support practical resolution of client or operational issues.
Administration & Account Discipline
Maintain accurate client records, job notes, quotations, and project documentation.
Support billing preparation by ensuring services, scope changes, and completed work are properly captured.
Assist with follow-up actions, internal notes, and account administration.
Maintain discipline around communication records and handover information.
Ideal Candidate
2-4 years experience in client service, account coordination, project coordination, logistics, galleries, museums, auction houses, luxury service, hospitality, or a related field.
Diploma or degree in business, communications, art, art history, logistics, hospitality, or a related field preferred.
Highly organised, responsive, and able to manage multiple requests at once.
Strong attention to detail, especially around scope, pricing, documentation, and timelines.
Clear written and verbal communicator.
Calm and professional when dealing with clients, deadlines, and high-value works.
Able to work across departments and keep information clear, accurate, and actionable.
Commercially aware and able to understand the link between client request, quotation, and delivery.
Confident using email, calendars, shared folders, documents, spreadsheets, and able to learn new systems quickly.
Fluent in Cantonese and English for Hong Kong roles, or Korean and English for South Korea roles. Mandarin is an advantage.
Interest in art, design, logistics, collecting, luxury service, or high-value asset protection is preferred.
