Role Summary
The Client Relationship Assistant supports the Client Relationship team across day-to-day client coordination, administration, scheduling, documentation, and internal communication.
This is a support-focused role with structured training across art logistics, storage, handling, operations, and client service. It is suited to someone highly organised, responsive, detail-oriented, and interested in building a career in a specialist, high-trust industry.
Key Responsibilities
Client Support & Coordination
Support the Client Relationship team in managing active client accounts.
Assist with client follow-ups, job coordination, scheduling, and internal communication.
Coordinate with operations, logistics, storage, and administration teams to ensure work is completed accurately and on time.
Help prepare documents for storage, transport, handling, billing, and client requests.
Ensure client interactions are handled professionally, clearly, and discreetly.
Administration & Documentation
Maintain client records, forms, authorisations, job files, and reference materials.
Support document control, filing and task tracking.
Prepare client-facing materials, shipping and customs documentation, job summaries and follow-up actions.
Training & Development
Learn Eythos’ internal workflows across storage, transport, handling, inventory, client service and fabrication.
Spend time with operational and fabrication teams to understand the full client journey.
Build knowledge of Eythos’ standards, systems, protocols, and approach to high-value asset protection.
Develop practical experience in specialist logistics and premium client service.
Ideal Candidate
1 to 3 years’ experience in client service, administration, logistics, gallery support, hospitality, luxury service, or a related field.
Diploma or degree in business, communications, art, design, logistics, hospitality, or a related field preferred.
Fluent in Cantonese and English. Mandarin or Korean is an advantage.
Highly organised, responsive, and comfortable working in a fast-moving environment.
Strong attention to detail and pride in accurate, well-presented work.
Calm, professional, and discreet when dealing with clients, deadlines, and high-value works.
A quick learner who can follow processes carefully and communicate clearly.
Confident using email, calendars, shared folders, documents, and able to learn new systems quickly.
Interest in art, design, logistics, luxury service, or high-value asset protection is preferred.
