Arrival Deadlines

Please avoid any arrivals from Friday after 16:00 and on weekends. If necessary, we must be notified in advance of weekend arrivals.

We urge you to share your shipping schedules in advance.

Shipments arriving after the above deadlines are subject to 30% late arrival surcharges on the official shipping tariff and risk not being delivered on time for the fair opening.

Above schedules are subject to change. Once the fair has opened, our art handlers can assist at your booth for swap, please contact us one day before by 4pm.

For consolidated shipments, we require a separate set of documents for each exhibitor. 

We recommend that a draft of all documents be sent to us for confirmation, prior to final issuance and freight booking. A full set of documents will be required per exhibitor.

Our customers must ensure that their property is insured. Eythos is not an insurer of your property. This is in accordance with our Eythos General Terms and Conditions, which will be provided to you along with our quotation. Transport and exhibition insurance cover can be arranged on account of a written order in case Eythos or its appointed agents have packed, shipped and condition reported each item. 

If you do not have insurance, we can help you to arrange coverage. Please contact our team in this instance. If you have arranged your own insurance, please check with your insurer that you are fully covered for the entirety of the work we may undertake on your behalf and advise them of our T&Cs. 

In order to minimise the risk of loss or damage in transit, we recommend the use of tailor-made, solid and re-lockable overseas packing solutions (i.e. wooden crates, flight cases, etc.). Eythos will be pleased to assist with complete door-to-door solutions, including packing and crating at origin.

We advise against the use of cardboard or one-way packaging to send any kind of fragile and delicate objects. Please also take into consideration that the weather in Korea in the summer can be very humid, so the use of additional climate protection/insulation material is recommended. All wooden packing should comply with the international ISPM requirements.

Inbound

All packages should be labeled clearly, with non-removable markings or labels. A clear numbering and marking of each package/crate and content is imperative for the identification of your goods during transit, storage, handling, and customs procedures.

Please find below the recommended format, which should be attached on two positions of each crate (front & back) or package. Please make sure that the below information is included on your labels.

The specifications of the packages must correspond to the specifications mentioned on the documents (Packing List/Invoice). 

Outbound

Eythos provides you with move-out/re-export labels during the fair. These labels capture specific post-sale instructions (i.e. sold, re-export, storage, etc.) and must be affixed to each item/package in order to clearly identify items and ensure a smooth post-sale process. Eythos does not accept any liability for artworks left on the booth without written instructions and appropriate marking.

Art handling 

Eythos provides highly skilled and experienced Art Handlers as well as Assistant Art Handlers during Installation and Dismantling hours. For rates please contact us at abhk@eythos.com for more details. 

Please send us your specific request and preferred installation times as early as possible, so that we can allocate the right size art handling team accordingly.

The latest deadline to book Art Handlers is 28 February 2026. Please note our handling service may be fully booked prior to the deadline. 

Crate storage

Eythos will collect your empty crates from the booth and store and manage them during the fair. They will be returned to your booth after the fair closes. We also offer off-site storage at our Fine Art facilities in Hong Kong.

Sometimes the fair floor is too crowded for a discreet conversation. Eythos offers exclusive booking access to our private viewing rooms during art week, giving you a sanctuary to present high-value works to VIP clients in total privacy.

• Museum specifications: Our rooms feature 4.5m to 5m ceilings and professional Erco lighting systems, capable of accommodating large-scale works (hooks rated up to 500kg).

• Natural light option: Uniquely in the market, we offer a viewing room with controlled natural daylight, essential for clients wishing to see the true texture and colour of a work before purchasing.

• Seamless transfer: We can arrange secure transport for your clients and artworks from the Convention Centre to our Tsing Yi facility for a private showing.

• Eythos - General Terms & Conditions shall apply to all services provided by Eythos in connection with all Services.

• All service charges exclude transit, storage or exhibition insurance and any other charges not mentioned in quotation.

• Final charges are based on actual volumes indicated on the transportation documents and actual working times and conditions.

• The Client takes full responsibility to declare the correct value and other information. Any fines or penalties arising from false or incorrect declaration will be payable by the Client.

• INBOUND Prepayment: Upon uplift of goods (or latest prior to booth delivery)

• OUTBOUND Prepayment: Upon presentation of invoice / prior to return delivery or release 

All payments must be made without any deduction or deferment on account of any claim, counterclaim or offset. Payment can be made by Bank Draft or Telegraphic Transfer to our account (details to be provided upon request).
