Eythos will occupy an office before, during and after the fair. This is from where we run our operations. You are welcome any time to grab water or have a rest.

Preparation

At the designated meeting point, management will gather all Art Handlers to introduce the teams, give general instructions, explain how our drive works, and define the installation, swap, and deinstallation days before the fair begins. Each day will be defined before the start of the show, this pre-work applies for the installation days, the swaps and the deinstallation.

Uniform Requirements

All Art Handlers shall wear the Eythos-provided corporate t-shirt and black work pants during working hours.

Art handling process

1. Preparation & assignment

Each Art Handler will be assigned to a team of 2–6 people, with a clear work schedule and designated booths or galleries. Handlers must familiarise themselves with the exhibition layout, knowing where to go and how to access OnSite Storage efficiently. Some teams may assist multiple clients in a day, and gallery contact information will be provided.

2. Pre-installation checklist

  1. Artwork List: Each team will receive the full list of shipped artworks, along with any special notes (e.g. fragile pieces, narrowed canvases, external condition reports).

  2. Special Requirements: Teams must review if any artworks need specific tools or conditions (e.g.gantry, forklift, more staff, etc.).

  3. Crate Count: Confirm the number of crates or packages for each booth.

  4. Tool Kits: Each team must have a complete tool kit, checked beforehand.

3. Installation

Teams must arrive 15 minutes before the assigned time, confirm with the CS team, and follow the client’s instructions precisely.

Condition check

  • Unpacking steps, artwork condition  and installation must be photographed.

Unpacking

  • Take photos of the crate interior and artwork (front/back, angles).

  • Use gloves, foam blocks and handle packaging carefully.

  • Open paintings from the back and avoid opening more than two at a time.

  • Maintain a clean, organised space.

  • Label crates (EMPTY / FULL / PARTIAL).

Installation

  • Follow client and production instructions.

  • Define the fixings, position, and height with the gallery.

  • Use 2 people when possible; single handler only for very small works.

  • Level the piece and confirm secure placement.

  • Support with electrical or wall repairs if needed.

Sign off

  • Clean the area and record materials or staff used beyond the plan.

  • Note completion time, and sign off with CS team and client.

  • Notify storage for crate collection.

  • Return tools and move to the next booth if scheduled.

4. De-installation

Teams should ideally be the same as during installation to ensure continuity. All teams share the same check-in time defined by the fair’s operations. Art Handlers must bring the required crates and soft packaging directly to the booth.

Preparation & review

Review the original preparation list with the client before starting. Sold artworks will be clearly marked with different labels and may have different destinations. Coordination with Eythos management is required to confirm these.

Condition check

  • Each artwork must be visually checked and photographed before packing.

  • Take photos of front and back (minimum requirement).

  • Sold works require detailed condition reports (photos, and video if needed).

Packing

  • Reuse original packaging whenever possible.

  • Replace soft packaging if damaged.

  • Use new packaging for sold works if required.

  • Reinforce packaging if necessary for added protection.

  • Create new carton boxes if needed.

  • Attach correct labels for identification and collection.

Booth clean-up

  • Remove all wall hardware (screws, cleats, nails).

  • Place all artworks together in a safe, designated spot for final check.

  • Remove all crate labels (EMPTY / PARTIAL) to avoid confusion.

Sign off

  • Final check of artworks, crates, and collies with the gallery representative.

  • Note any use of extra materials or staff beyond plan.

  • Record check-out time and complete sign-off with CS and the client.

  • Inform the storage team that crates are ready for pick-up.

Final clean-up

  • Assist other teams if no second booth is assigned.

  • Gather and move crates to the loading area.

  • Collect and return all packaging materials and tools.

  • Help storage team if needed.

  • Perform a final walk-through of the fair to check for any remaining crates, tools, packaging, or hardware.

Unpacking Photos

  • Show crate interiors and artwork positioning for future reference.

Fast Condition Reports

  • Paintings: front + four corners

  • Framed works: front, corners, and angled glass photo

  • Sculptures: multiple angles

  • Installations: general and component photos

Detailed Condition Reports

  • Include back views, videos, and detailed shots (if required).

  • Any concerns must be communicated to CS and the client.

  • If written notes are needed, upload a .doc to the Drive and notify management.

Labels and tape

To determine that the crate is partially filled, with the artworks packaging installed in the stand and other works stored inside the crate.

Circular stickers

Circular stickers are provided to apply on crate and packages during and after the fair. There is space at the bottom to add written notes if needed.

Safety

Two sets of First Aid Kit, minor injuries, will be available on site. First Aid Kit will additionally include the following medications:

  • Ibuprofen

  • cold medicine

  • fatigue relief

  • antacids

  • antibiotic ointment

  • antihistamine

  • aspirin

  • acetaminophen

  • digestive medicine

  • antidiarrheals.

For major injuries/absence requirements, please first contact Eythos Korea Managers so that we can directly provide any immediate care (such as call an ambulance or take them to the medical room if available) on site. Eythos Korea Managers then rearrange and adjust any further operations to fill the gap right away.

General tips

Naver

While Google Maps works and will show you the street and location in Seoul, it doesn't do directions very well. The most common Korean equivalent is Naver, which you can get on Google play and the Apple App store.

T-Money

The T-money card is a smart card that can be used to pay for a range of items and services in Korea, most commonly for transportation (taxis, buses, subways) but you can also pay for items in convenience stores. We recommend purchasing a T-money card for discounted transportation rates.

The card is available for purchase at the Transit Centre at Incheon Airport, at any subway station, or even at convenience stores. Each card costs approx. 2-3 USD.

Credit cards

Cards like Visa and Mastercard are widely accepted, along with several popular digital wallets.

While it’s a good idea to keep a small amount of cash on hand for certain situations, cards are generally the better primary payment method. You’ll be able to use them almost everywhere, and you won’t have to worry about being left with leftover foreign currency.

Contactless card payments and digital methods are very popular in South Korea. You can make purchases of up to 50,000 KRW without needing to insert your card or sign for the payment.
